How Irish Regulations Differ from UK

VAT System

The biggest difference. Ireland operates on a standard VAT rate of 23% on most goods and services, with reduced rates of 13.5% (alcohol, food) and 9% (some hospitality services). This is more complex than UK VAT.

Your EPOS needs to:

Handle multiple VAT rates simultaneously. Different drinks might be taxed at different rates. Your beer might be 23%, your soft drinks 23%, your food might be 13.5%.

Calculate VAT correctly and separately for each category.

Generate reports that break VAT down by category for your tax filing.

Integrate with Irish tax authorities’ requirements (Revenue Commissioners).

Licensing

Irish licensing is different from UK licensing. You’ve got On License (can sell for consumption on premises), Off License (selling for consumption off premises), or combined. Your licensing conditions might restrict things differently.

Clover Available in Ireland. Modular system. Can be configured for Irish requirements. Works if you’re careful with setup.

Local Irish Systems: There are smaller systems specifically built for Irish pubs. Worth researching local providers. They understand Irish requirements natively.

Avoid without Irish configuration: Systems designed purely for UK market (Lightspeed without Irish options, Toast in its basic UK form) might not handle Irish VAT correctly. Always confirm Irish compatibility before committing.

VAT Compliance in Detail

This is critical because getting VAT wrong has serious consequences.

VAT Registration: You need to register for VAT if you’re above the threshold. Your EPOS reporting should help you understand your VAT liability.

Rates to Handle:

23% standard rate (most items)

13.5% reduced rate (alcohol, many food items)

9% reduced rate (some hospitality and food service)

0% zero rate (some groceries—probably not relevant for pubs)

Your EPOS Configuration:

Each product should be assigned a VAT rate. When you ring up a transaction, the system automatically applies the correct VAT.

You should be able to run reports showing gross sales, VAT applied, and net sales for each rate.

Monthly VAT returns should be submittable directly from your EPOS reporting (or at least, your EPOS should generate the numbers you need for your monthly return).

VAT Recovery: As a business, you can recover VAT on your purchases (stock, supplies, services). Your EPOS doesn’t directly handle this, but integration with your accounting software (Xero, FreshBooks) should let you track purchases against your VAT liability.

Supplier Integration in Ireland

Can your EPOS integrate with Irish beer distributors and suppliers?

Check compatibility with:

Diageo (Guinness distributor)

Local independent distributors

Local craft breweries if you stock them

Your spirits and wine suppliers

Post-COVID, online ordering for drinks delivery is common in Ireland. Some EPOS systems have this built in or integrate with platforms like Just Eat, Deliveroo, etc.

If you want to offer online ordering, confirm your EPOS supports this or integrates with platforms you plan to use.

Cost Considerations for Irish Pubs

Expect similar pricing to UK pubs, possibly slightly higher due to Irish-specific features and smaller market.

Hardware: £2,000-5,000 depending on setup.

Implementation Tips for Irish Pubs

Confirm VAT Setup Before Going Live: Have an accountant review your EPOS VAT configuration before you process real transactions. Getting this wrong from day one is painful to fix.

Test Integration with Your Suppliers: If integration is important to you, test it thoroughly before full implementation. Don’t go live expecting it to work.

Understand Your Licensing Requirements: Different areas of Ireland might have slightly different requirements. Confirm with your local licensing authority what reporting they expect, then verify your EPOS can produce it.

Integration with Irish Accounting Software: Many Irish pubs use Irish accounting systems (Clever Accounting, Sage Ireland, etc.). Confirm your EPOS integrates with whatever you’re using for accounting.

Making Your Decision for an Irish Pub
